The best vendor for the job, not the best connected.
EasyRFP was built to eliminate the frustration, wasted time, and endless back-and-forth that comes with managing projects and vendor relationships. Our goal is simple: to help property managers reach theirs.
Four principles, one workflow.
Clarity over paperwork
A good RFP is a clear ask, not a forty-page PDF. The platform turns scope, specs, and evaluation criteria into a guided flow that takes minutes.
Local by default
Work happens in neighborhoods. Vendors are matched by proximity and qualifications so the people bidding are the people who can actually show up.
Trust, verified
Insurance, licenses, workers comp. Verified once, surfaced on every bid. Managers stop chasing certificates and start comparing proposals.
From proposal to payment
Contracts auto-generate from the awarded bid. ACH payment moves on acceptance. No invoicing back-and-forth, no chasing checks.
Started as a frustration. Became a platform.
- The problem
HOA managers were stuck in email
Property work was being scoped in spreadsheets, bid by phone, and paid by paper check. Vendors were missing jobs they were perfect for, and managers were comparing proposals that did not match.
- The shift
A guided workflow, not another inbox
Instead of yet another tool to manage, EasyRFP replaces the scattered workflow with one guided path: RFP, geo-matched bids, contract, payment.
- Today
Built with managers and vendors weekly
Every release is shaped by real HOA managers and the local contractors who serve them. If it does not make the job simpler, it does not ship.
The bigger picture, in plain language.
Why does EasyRFP exist?
EasyRFP exists because property work has been stuck in inboxes and spreadsheets for decades. HOA managers were scoping repairs in email threads, comparing bids on different formats, and chasing paper checks across two-week cycles. Local vendors were missing jobs they were perfect for because they never saw the request. The platform replaces that scattered workflow with one guided path that runs from a clear scope of work to a verified local vendor, a comparable proposal, an auto-generated contract, and an ACH payment when the job is accepted. The point is not another tool to manage. The point is to give managers their afternoons back, give vendors a real channel into the work in their neighborhoods, and put the relationship at the center of the workflow where it has always belonged for serious property professionals.
Who is EasyRFP built for?
EasyRFP is built for the people who keep communities running. On one side, HOA managers, board members, and small property management firms who scope dozens of jobs a year and need to compare apples to apples without burning a week on each one. On the other side, local vendors who do the actual work: landscapers, plumbers, electricians, roofers, painters, cleaners, pest-control crews, and the general repair specialists who own their trade and their reputations. The platform assumes both sides are serious professionals who care about their good name and want a clean workflow, not a marketplace race to the bottom of the pricing barrel. Managers get verified credentials and structured bids without playing phone tag. Vendors get geo-matched work in their area without paying to play. The shared goal is finished jobs and lasting relationships, not lead-generation games.
How is EasyRFP different from a contractor marketplace?
EasyRFP is a workflow platform, not a lead-generation marketplace. Most contractor marketplaces sell the same job to four vendors and let them race to the lowest bid, then take a cut of the contact information. That model rewards underbidding and undermines trust on both sides. EasyRFP takes a different shape. Every vendor on the platform has verified insurance, licenses, and workers comp before they bid. Every bid maps to the same structured scope so managers compare on real terms. The contract auto-generates from the awarded bid, both parties sign digitally, and payment moves on ACH when the work is accepted. There is no per-lead charge. There is no scope drift between what was asked and what was quoted. The platform earns a small per-bid fee on awarded work and nothing on bids that did not win.
Built with managers. Trusted by vendors.
